Troubleshooting Email Client Configuration for Outlook and Apple Mail

If you’re experiencing issues with your email client not displaying new emails, this guide provides solutions for configuring Outlook on Windows, macOS, iOS, and Android, as well as Apple Mail on macOS and iOS. The primary focus is on ensuring correct server settings for Office 365.

Common Troubleshooting Steps

Before diving into specific client configurations, consider these general steps:

  1. Restart Your Mail Client: Often, simply restarting your email application (Outlook, Apple Mail) can resolve display issues and force it to update its information.
  2. Verify Email Configuration: Ensure your email account settings are accurate. While some configurations are automated, manual updates might be necessary. Key settings to check include:
    • Email Address: Typically <YourNetID@tamu.edu>, but may be <YourNetIDAlias@tamu.edu> if you use an alternative sending address.
    • Username: Always <YourNetID@tamu.edu>.
    • Server: outlook.office365.com.

Configuring Outlook Across Devices

Windows Outlook

To ensure your Exchange account is correctly set up in Outlook for Windows:

  1. Click on File.
  2. Select your Exchange account from the account selection menu at the top.
  3. Under Account Settings, verify that https://outlook.office365.com/owa/tamu.edu/ is listed in the Access this account on the web section.

macOS Outlook

Microsoft offers a new version of Outlook for Mac. You can review its features on Microsoft’s official website.

To check your server settings for Outlook for Mac:

  1. Click Outlook.
  2. Click Preferences.
  3. Click Accounts.
  4. Select your Exchange account.
    • Verify your E-mail address.
    • Verify your User name.
  5. Click on Advanced….
  6. Confirm that the Microsoft Exchange Service listed begins with https://outlook.office365.com.

iOS Outlook Mobile App

The Outlook Mobile App for iOS doesn’t provide direct visibility into email settings. However, you can verify your account and its type:

  1. Tap the user icon in the upper left corner.
  2. Confirm the account type is Office 365.
  3. Tap the gear icon in the bottom left.
  4. Under Mail Accounts, tap your TAMU Email account.
  5. Ensure the listed email is your @tamu.edu address. If not, remove and re-add the account.

Android Outlook Mobile App

Similar to iOS, the Android Outlook Mobile App doesn’t show direct settings. To check:

  1. Tap the user icon in the upper left corner.
  2. Verify the account type is Office 365.
  3. Tap the gear icon in the bottom left.
  4. Under Mail Accounts, tap your TAMU Email account.
  5. Ensure the listed email is your @tamu.edu address. If not, remove and re-add the account.

Configuring Apple Mail

Apple Mail lacks a straightforward method to verify server settings. If you are not receiving emails after a migration:

  1. Remove your existing Exchange account.
  2. Re-add your Exchange account using the correct server information provided at the top of this document.

iOS Mail

To check the Exchange settings for the default iOS Mail app:

  1. Go to Settings.
  2. Tap on Mail.
  3. Tap on Accounts.
  4. Select your Exchange account.
  5. Tap on the account name.
  6. Verify that the Service listed is outlook.office365.com. If it’s different, tap the Server field and enter outlook.office365.com.

Android Mail (Gmail App)

While Android email clients vary, you can often verify settings within the Gmail app:

  1. Tap the sandwich menu in the top left.
  2. Scroll down and tap Settings.
  3. Select your TAMU Account.
  4. Scroll to the bottom and tap Incoming Settings under the Server Settings section.
  5. Verify that the server listed is outlook.office365.com.
  6. If you’re not receiving email, remove and re-add the account.

Accessing Shared Mailboxes

Online Access

You can access a shared mailbox directly through its cloud URL.

Mobile Access

Microsoft recommends using the Outlook mobile application for accessing shared mailboxes on mobile devices.

  1. Open the Outlook mobile app.
  2. Tap the account icon in the upper left corner.
  3. In the left sidebar, tap the add mailbox icon.
  4. Select Add Shared Mailbox.
  5. Enter the email address of the shared mailbox.
  6. Tap the shared mailbox’s account icon in the left sidebar to access it.

General Troubleshooting: Focused Inbox

Turning off Focused Inbox

  • Outlook on the web: Click Settings at the top of the page, then toggle Focused Inbox off in the Settings pane.
  • Outlook for Windows: Select the View tab, then select Show Focused Inbox to toggle it off or on.
  • Outlook for Mac (Classic version): Click the Organize tab, then select Focused Inbox to toggle it on or off.
  • Outlook for Mac (New Outlook): Click View, then click Turn on Focused Inbox to toggle it on or off.
